Creating an Email Template

There are two ways to have a signature block as your default new messages or replies:

  • signature file that is basically raw text and therefore no links, logos, etc.
  • an HTML email template.

Setting up the HTML template:

Open the Document Management Center

  • Click View
  • Click Document Management Center - You will see a section on Email Templates
  • Right-click on "Email Templates" and select New.
  • Create your signature block. - You can use different fonts, colors and plug in hyperlinks, logos etc.
  • Put a name like "New Email" in the subject... - this won't be the actual subject when you create a message, but will be the name of the template
  • Click save.

Setting template as Default

If you would like to set this template as the default template:

  • Right-click on the template you just created
  • Select 'Set as Default'
  • Choose New

    Added Insight

    Each time you begin an email the template will show up. You can also select Replies or Forward for the template to be used on those emails as well.

Adding Field Data to Template

You can also add data from Goldmine fields into your template, for example, the recipient's first name:

  • Right-click on the template you created
  • Select Edit
  • Click on the button to Insert a Field (3 from right)
  • Select 'Contact Details'
  • Select Needed fields.

    Selecting 'User Full Name' will plug in <<&userfullname>>, etc...

  • Click Save

Now, each time you compose an email with this template, the respective fields selected of the contact will appear in the email.

Attaching Files/Letters to Template

Sometimes adding saved files/letters to templates will be needed:

Know the exact location for the file you are wanting to attach before attempting this step.

  • Right-click on the template you created
  • Select Edit
  • Click on the button to Attach Files (2 from right)
  • Navigate to appropriate location of the file you want to attach

Now, each time you compose an email with this template, this file will be attached.
